By booking an appointment with the clinic—either in-person or online—you agree to the terms mentioned in this policy.
Appointment Cancellation Policy
Patients are requested to inform the clinic in advance if they are unable to attend their scheduled appointment.
Cancellations made at least 24 hours prior to the scheduled appointment time will generally not attract any penalty. In such cases, patients may choose to reschedule their appointment or request a refund, subject to the terms below.
Cancellations made less than 24 hours before the appointment, or failure to attend the appointment without prior notice (no-show), may result in the consultation fee being non-refundable. This policy helps ensure that appointment slots are efficiently managed and available to other patients in need.
Rescheduling Policy
Patients may request to reschedule their appointment by informing the clinic in advance.
Rescheduling requests made at least 24 hours before the appointment will generally be accommodated without additional charges, subject to availability.
Repeated last-minute rescheduling or frequent changes may be restricted at the discretion of the clinic.
Refund Policy
Refunds may be considered under the following circumstances:
- If an appointment is cancelled at least 24 hours in advance
- If the clinic is unable to provide the scheduled service due to unforeseen circumstances
- If there is a duplicate or excess payment made by the patient
Refunds, when approved, will be processed within a reasonable timeframe (typically 5–10 working days), depending on the payment method and banking processes.
Non-Refundable Situations
Refunds will generally not be provided in the following cases:
- Missed appointments without prior notice (no-show)
- Cancellations made less than 24 hours before the scheduled time
- Dissatisfaction with consultation outcomes, as mental health treatment results may vary
- Failure to join an online consultation at the scheduled time due to patient-side issues
Online Consultation (Teleconsultation) Policy
For online consultations:
- Full payment must be made in advance to confirm the booking
- Patients are responsible for ensuring stable internet connectivity and a suitable environment for the session
- If a consultation is disrupted due to technical issues from the patient's side, it may not be eligible for a refund
- If the issue arises from the clinic's side, efforts will be made to reschedule or provide a refund where appropriate
Emergency Situations
In genuine emergency situations, cancellation or refund requests will be reviewed on a case-by-case basis at the sole discretion of Happy Minds Psychiatry Clinic.
Mode of Refund
Approved refunds will be processed using the same mode of payment used during the original transaction, unless otherwise agreed. Processing timelines may vary depending on banks or payment gateways.
